This activity supports trainers and freelancers in Youth Sector in systematically designing a Code of Conduct for collaboration with organisations, partners, and other contractors. It focuses on translating implicit expectations into explicit, operational agreements that reduce risk, prevent conflict, and increase quality.
Core dimensions covered:
  • Contractual clarity: fees, taxes, payment timelines, cancellation terms, deadlines, scope of work
  • Roles & responsibilities: contact person, decision-making structure, accountability
  • Information flow: communication channels, frequency, transparency standards
  • Boundaries & red zones: non-negotiables, workload limits, ethical lines
  • Collaboration dynamics: working with other trainers/contractors, expectations of contribution
  • Risk & extreme situations: conflict, non-performance, last-minute changes, crisis response
  • Safety & safeguarding: safety, professional conduct, inclusion
  • Freelancer sustainability: capacity awareness, financial safety nets, fallback strategies
The activity integrates self-awareness and professional positioning with practical agreement-building.

Step 1. Self-Reflection & Positioning

Before drafting any Code of Conduct, the trainer defines their own baseline.
Complete a structured self-reflection to clarify their professional identity, limits, and expectations.
Key reflection areas:
What are my core values in work (e.g. reliability, transparency, flexibility…)?
What is my work ethic and what do I expect from others?
What are my non-negotiables (red zones)?
How do I work best (last-minute vs structured, autonomy vs coordination)?
What level of responsibility am I willing to take?
How do I handle conflict, stress, or uncertainty?
What are my capacity limits as a freelancer?
What are my financial and professional safety nets?
What kind of teams and organisations align with my values?
What are the evaluation criteria?
Output:
Completed self-reflection questionnaire + identified personal boundaries and working style.

Step 2. Translating Expectations into Agreements

Convert your internal expectations into clear, communicable standards. Make a draft of your expectations.
Focus:
Define clear expectations toward partners/organisers
Identify minimum conditions for collaboration
Structure expectations into categories:
Communication
Planning & timelines
Financial conditions
Quality standards
Collaboration norms
Output:
Draft list of expectations structured into thematic areas.

Step 3. Code of Conduct Drafting

Develop a structured Code of Conduct document.
Mandatory sections:
Scope of work & tasks
Roles and responsibilities (incl. contact person)
Communication and information flow
Financial agreements (fees, taxes, payment deadlines)
Timeline expectations and delivery standards
Cancellation policy and compensation
Collaboration with other contractors/trainers
Boundaries and red zones
Safety and safeguarding principles
Protocols for extreme situations (conflict, non-performance, emergencies)
Output:
First full draft of a Code of Conduct.

Step 4. Stress Testing & Scenarios

Test your Code of Conduct against realistic scenarios.
Examples:
Late payment
Last-minute program changes
Unclear responsibilities in trainer team
Ethical conflict with organiser
Overload or burnout situation
Personal emergency situations
Output:
Adjusted Code of Conduct with added clarity and safeguards.

Step 5. Integration & Application

Define how the Code of Conduct will be used in practice.
Focus:
How to communicate it to partners
How to integrate into contracts or agreements
How to enforce or refer to it in practice
When to walk away from collaboration
Output:
Finalised Code of Conduct + implementation plan.

  • Defined strategies for implementation in professional practice
